Tracking your job applications: the routine that lasts three months

In week one, you send thirty applications. By week three, you can't remember who you wrote to, you apply to the same place twice, and you forget to follow up on the one that had started well. It isn't a motivation problem: it's a volume problem that outgrows what memory can hold.

A job search rarely lasts two weeks. It plays out over two to four months, and what decides the outcome isn't how hard you push on day one but how consistent you are in month two. Here's the minimal system that holds up over that stretch.

The point where you need a system

Below ten active applications, memory is enough. Beyond that, three things start slipping, always in the same order: first the follow-ups, then the record of conversations, and finally duplicates.

Duplicates are the most embarrassing. Applying twice to the same job three weeks apart sends the recruiter a clear signal: this candidate doesn't keep track of their own search. It's also the easiest mistake to avoid.

The six columns that actually matter

A tracker that's too detailed never gets filled in. Six columns are enough, and the sixth is the one almost everyone forgets.

That last column is what turns a list into a learning tool. If you tailor your resume to each job — and you should — after a month you'll have several versions in circulation. Without this column, you'll never know which one works.

What's useless: expected salary, the rating you give the company, your mood of the day. Those columns get filled in during week one and abandoned after.

When to follow up

Everyone looks for the perfect wording. What really matters is timing.

• Application with no reply: 7 to 10 days. Earlier is premature — the recruiter probably hasn't worked through the batch yet. After fifteen days, your application is buried.
• After an interview: 48 hours for the thank-you message, then the date the recruiter gave you, plus two days.
• Second follow-up: just one, a week after the first. Beyond that, no answer is an answer.

The message fits in two sentences: mention the role and the date you applied, then add something new — a recent achievement, a specific question about the job. A follow-up that only says “just checking in” gives the reader nothing.

A weekly pace you can sustain

The classic failure pattern: thirty applications in week one, eight in week two, zero in week three. The curve collapses because the starting pace was never sustainable, not because motivation vanished.

A pace that lasts three months looks more like this:

• Five to eight applications a week, genuinely tailored, rather than thirty generic ones.
• One fixed day for follow-ups. Tuesday works well: Monday is swamped, Friday is lost.
• Half a day a week spent on something other than applying: networking, research, updating your resume.

Eight applications a week adds up to more than a hundred over three months. That's well above what a stop-and-start search produces.

Measure progress, not comfort

The number of applications sent is a comfort metric: it always goes up, and it tells you nothing. Three numbers are worth tracking:

1. Response rate — replies received divided by applications sent. Below 5%, the problem is upstream: your resume isn't getting through, or the jobs you're targeting aren't a fit.
2. Interview rate — interviews divided by replies. If it's good while your response rate is low, your profile convinces people but your application isn't getting seen.
3. Average response time — useful for knowing when an application is really dead.

If your response rate is very low, the first place to look isn't your experience but how machine-readable your resume is. We cover that in our article on ATS software.

What to reread before an interview

Thirty well-spent minutes beat three hours of worrying. In this order:

• The job ad, not your resume. You know your own background; what you've forgotten is the exact wording of the role.
• The version of your resume you sent to that company. It's the document the interviewer has in front of them.
• Three measurable achievements you can tell in about a minute each.
• One specific question about the team or the role that shows you've read more than the homepage.

This is where the “resume version” column pays off: without it, you walk into an interview not knowing what the other person has read.
